Furnishing at Scale: Procurement for Large Developments

What Does It Take to Furnish Hundreds of Bedrooms?

At first glance, the requirements might seem straightforward: beds, mattresses, desks, chairs and storage. In reality, furnishing hundreds of bedrooms can involve thousands of individual products, multiple manufacturers and suppliers, significant lead times and a carefully coordinated delivery and installation programme.

For developers and main contractors, large-scale procurement isn't simply about finding products at the right price. Specification, quantities, budget, manufacturing lead times, logistics and installation all need to align with the wider development programme.

Planning procurement early provides more time to review specifications, compare sourcing options and respond if products, quantities or project programmes change.

What Products Are Needed to Furnish Hundreds of Bedrooms?

Even a relatively straightforward bedroom specification becomes a significant procurement exercise when multiplied across hundreds of rooms.

Depending on the development, requirements could include:

  • Commercial mattresses and beds

  • Desks and desk chairs

  • Wardrobes, bedside furniture and storage

  • Pin boards, mirrors and bedroom accessories

  • Bulk electricals and appliances

  • Linen and bedding

  • Cleaning products, paint and operational supplies

For developments containing studios, the quantities can increase further. Individual rooms may require fridges, microwaves, kettles, toasters, televisions and other electrical appliances, depending on the specification.

There may also be multiple room types within the same development, each with different dimensions, layouts or furniture requirements.

Before orders are placed, these requirements need to be translated into an accurate schedule covering products, specifications, quantities, finishes and delivery requirements.

This also provides an opportunity to identify where products can be standardised, orders consolidated and specifications reviewed before procurement begins.

Bulk Furniture and Commercial Mattresses

Buying products for hundreds of bedrooms requires a different approach to purchasing individual replacement items.

A product may be available from a supplier, but that doesn't necessarily mean hundreds of units can be supplied within the required timeframe.

For bulk commercial mattresses, developers need to consider specification, fire compliance, durability, warranty, availability and future replacement requirements.

For contract furniture, there may be decisions around dimensions, materials and finishes, as well as whether standard products can be used or furniture needs to be manufactured specifically for the development.

Large quantities can also create opportunities to review specifications and value engineer certain products.

Where appropriate, samples can be obtained before committing to a larger order, allowing finishes, materials and suitability to be assessed before products enter full production.

Lead Times for Contract Furniture and Bulk Orders

Manufacturing lead times are one of the biggest considerations when furnishing a large development.

Large orders of beds, wardrobes, desks and other contract furniture may require a dedicated manufacturing run. Bespoke or custom-made furniture can require additional time for sampling and approvals before manufacturing begins.

Material availability, factory capacity, manufacturing location and transportation can all influence the final lead time.

Bulk commercial mattresses and electrical appliances can also be affected by stock availability when large quantities are required.

If procurement begins too late, a preferred product, finish or manufacturer may simply not be achievable within the programme.

Not every project has the benefit of a long procurement period, however. Construction programmes change, completion dates move and specifications can be altered.

Where deadlines are tighter, TSS can explore alternative sourcing and manufacturing routes based on the quantity, specification, budget and required delivery date.

This could include products already held in stock, alternative manufacturers, adapting elements of a specification or identifying comparable products with shorter lead times.

The earlier procurement requirements are understood, the more options there are to find a practical solution.

Managing Costs on Large-Scale Furniture Procurement

When products are being purchased in large quantities, relatively small differences in unit price can have a significant impact on the overall procurement budget.

For example, on a 500-bedroom development, a £10 difference per room represents £5,000 across the project.

Multiply that across mattresses, furniture, chairs, electrical appliances and other products and there may be opportunities to make meaningful savings through specification reviews and value engineering.

However, value engineering shouldn't simply mean choosing the cheapest option.

Durability, warranties, maintenance requirements, replacement availability and suitability for a commercial environment should all be considered alongside the initial purchase price.

There may also be commercial efficiencies from consolidating orders and coordinating procurement, deliveries and installation rather than managing multiple product categories separately.

Furniture Delivery, Installation and Removal

Successfully sourcing hundreds or thousands of products is only part of the process. They then need to reach the right place at the right time.

On a large development, different floors, blocks or phases may become ready at different stages. Fit-out works may still be taking place in one area while furniture installation begins elsewhere.

Site access and storage also need to be considered. Large deliveries may need to work around loading restrictions, available storage, lifts, staircases, corridors and agreed delivery times.

Sending hundreds of mattresses or pieces of furniture to site before they can be installed can create unnecessary storage and access problems.

Where appropriate, phased furniture delivery and installation can be coordinated around the wider programme, allowing products to arrive as areas become ready.

For refurbishment projects, there is another consideration: removing existing products.

Hundreds of new mattresses could also mean hundreds of existing mattresses need to be removed. The same can apply to furniture and electrical appliances.

Where required, TSS can arrange the removal and responsible disposal of old mattresses and appliances alongside the supply and installation of replacements.

Coordinating incoming and outgoing products can help reduce disruption and the number of separate services a developer or contractor needs to arrange.

Bulk Electricals and Operational Supplies

Large-scale procurement isn't limited to furniture and mattresses.

TSS can source and supply a wide range of products, including bulk electricals and appliances, linen and bedding, cleaning products, paint, consumables and other operational supplies.

Furniture gets damaged, mattresses need replacing, appliances fail and operational products need replenishing. Having an established supply route can make ongoing replacement procurement easier, particularly for clients operating larger portfolios or multiple properties.

Case Study: 90 Bedroom Refurb at Dean House, London

A 90-bedroom refurbishment at Dean House for Homes for Students is a great example of how refurbishment, furniture and procurement can work together as part of one coordinated programme.

Inspired Projects delivered the refurbishment works, working alongside furniture manufacturer Foliot, while TSS supported the project with a range of products and essential items, including:

  • Commercial mattresses

  • Desk chairs

  • Pin boards

  • Mirrors

  • Bed linen

  • Paint

  • Cleaning products

TSS supported both the refurbishment works and the final bedroom fit-out, supplying everything from paint and cleaning products used during the programme to mattresses, furniture and finishing items required for the completed rooms.

By working alongside Inspired Projects, Foliot and the wider project team, procurement could be coordinated with the refurbishment programme and products supplied when they were needed on site.

The project demonstrates how TSS can complement existing contractors and furniture manufacturers, filling procurement requirements across a project without replacing established supply partners.

Large-Scale Procurement for Developers and Main Contractors

Whether a development involves 90 bedrooms, hundreds of rooms or several buildings, large-scale procurement requires much more than placing an order.

Specification, quantities, budget, manufacturing capacity, lead times, logistics, delivery and installation all need to work alongside the wider development programme.

Starting procurement conversations early gives developers and main contractors greater flexibility to review products, compare sourcing options and plan manufacturing and delivery around key project dates.

Where timescales are already tight, access to different manufacturers and sourcing routes can also help identify practical alternatives based on the project's specification, quantities and deadline.

TSS supports developers, main contractors and operators with large-scale procurement across PBSA, Build to Rent, residential, hospitality and other commercial developments throughout the UK.
